The Group Travel Planning Problem Everyone Knows
A five-person trip typically looks like this: one person drafts an itinerary, screenshots it, and sends it to the group. Then everyone piles on — someone wants to add a spot, someone thinks Day 2 is too packed, someone's asking "did we actually book that guesthouse?"
The original draft gets buried in chat history, and eventually nobody's sure which version is "the current one."
This is exactly what Pi Travel's collaborative planning feature is designed to solve.
Step 1: Create the Itinerary and Invite Members

After creating your itinerary, tap "···" in the top right → "Invite Collaborators." This generates a unique invite link, or you can select contacts directly.
- Invite method 1: Copy the link, send to group chat — friends tap to join
- Invite method 2: Select contacts directly (requires mutual follow on Pi Travel)
- Permission settings: Creator can set "Can edit" or "View only"
- Member limit: Up to 20 collaborators per itinerary
Step 2: Real-Time Co-Editing

Once all invited members join, everyone can edit simultaneously. Every change syncs to all other members' devices in real time — no refreshing, no re-importing.
What everyone can do in collaboration mode:
- Add or remove attractions, restaurants, activities
- Drag to reorder stops
- Add notes to locations (e.g., "book in advance," "parking is tricky")
- Mark spots as "Want to go ❤️" or "Not interested ☆"
- Chat and comment directly within the itinerary
Every time a member makes a change, a brief update notification appears at the top (e.g., "Xiaoming added a location") — a clear record of who changed what, no memory required.
Step 3: Voting — Settle Disagreements Without the Drama
When there's a dispute — say, Spot A vs. Spot B — you can launch a vote directly in the itinerary. All members vote inside the app, results tally in real time. Majority rules, no group chat debate needed.
Voting supports:
- Single-choice or multi-choice (e.g., "pick your top 3 spots")
- Set a deadline (vote auto-closes when time runs out)
- Anonymous or public voting
- One-tap apply: winning location auto-added to itinerary
Step 4: Task Assignment — Everyone Has a Job
For advance prep tasks (booking hotels, renting cars, buying tickets, researching guides), create task cards in the itinerary and assign them to specific members:
When a task is done, the assignee marks it "Completed" — everyone sees the updated status instantly. No more "did you book the hotel yet?" messages in the group chat.
After Collaboration: One Itinerary Everyone Agrees On
Once collaboration is done, all members can view, download, and share the itinerary — and follow it in real time during the trip. Everyone has the same "final version" on their phone. No more "I thought we were going to A, you thought B."
Save the arguments for which restaurant to eat at — that one's actually worth debating.
